Privacy notice.

1. What we collect

When you complete the brief form on this site or write to the studio directly, we collect the information you choose to share: your name, contact details, the property location you mentioned, and the text of your brief. We do not buy or supplement this information from outside sources.

The site itself logs limited technical data — broad page-view counts, anonymised browser and device type, the country your visit originates from — using a privacy-respecting analytics service hosted within the European Economic Area. We do not run third-party advertising trackers.

2. Why we hold it

Your enquiry information is held for one purpose: so the studio can read it, reply to it, and (if a commission follows) carry the contractual relationship through to completion. The technical logs are held so we can understand which pages are useful and which are not.

3. Lawful basis under the Malaysian Personal Data Protection Act 2010

Where you have completed our enquiry form, we process your data under the consent and the contractual-necessity grounds of the PDPA 2010. Where you have not contacted us directly — for example, casual website visits — we process limited technical data under the legitimate-interests ground, for the purpose of running and improving the site.

4. Who sees the information

Briefs sent to the studio are read by a small group of senior designers within Reachbay Atelier Sdn Bhd. We do not share your contact details with any vendor, supplier or marketing partner. The exception is where we engage a structural engineer, joinery house or contractor as part of delivering a commission — in those cases, only what is needed for the work is shared, and always with our written instruction.

Our website is hosted by a Malaysian commercial hosting provider; the technical analytics tool is operated within the European Economic Area. Data processed by these subprocessors is bound by the same confidentiality obligation as Reachbay Atelier.

5. How long we keep it

Enquiries that do not become commissions are kept for twenty-four months and then deleted. Enquiries that become commissions are retained for the duration of the project and for six years after handover, in line with our contractual record-keeping obligations.

Technical website logs are aggregated within thirty days; raw logs are not retained beyond that window.

6. Your rights

Under the PDPA 2010 you may, at any time, ask us to confirm what information about you we hold, request a correction, or ask us to delete it where we have no continuing lawful reason to keep it. Please write to [email protected] and we will respond within twenty-one days.

7. Cookies

This site uses a small set of cookies as described in our cookie policy. You can decline non-essential cookies at any time through the banner that appears on your first visit, or by clicking the “Cookie preferences” link in the footer.

8. Updates to this notice

If we materially change how we handle personal information, we will update this notice and the effective date above. Substantive changes to the position of existing clients will be communicated by email; visitor-facing changes will be reflected on this page.
